Section 1:  Standing Committees

Chairment of Standing Committees of the Society are appointed Officers and are responsible for recruiting their own committee personnel with the approval of responsible for recruiting their own committee personel with the approval of the Executive Board, and structuring their committee as necessary to carry out all the responsibilities assigned.  IF the Committee's responsibilities are heavy, the Chairman may appoint a Vice Chairman, with the approval of the Executive Board.  Each Chairman and/or Vice Chairman shall attend all the regular and Board meetings of the Society, or see that a member of their Committee is present.  The President should be appraised of a report, if the meeting cannot be attended.

A. The Exhibits Committee shall:

  1. Seek places and events in which calligraphic works of the Society's membership can be exhibited to the public to assist in the purpose of the Society.
  2. Regularly sponsor displays of members' calligraphic works
  3. Keep notes and operational material pertinent to the responsibilities of this office
  4. Perform whatever additional duties the Society prescribes

B.  The Historical Committee shall:

  1.  Have the Historian as it's Chairmen who shall also act as archivist
  2. Keep a complete, up-to-date, and acccurate history of the Society
  3. Maintain and keep current the Society's scrapbooks and historical records
  4. Seek photographs, mementoes, publications, documents, etc concerning the Society and its members for placement in scrapbooks and historical records
  5. Display the scrapbooks to the membership from time to time
  6. Prepare for publication the Society's history, when deemed necessary
  7. Keep notes and operational material pertinent to the responsibilities of this office
  8. Perform whatever additional duties the Society prescribes

C.  The Library Committee shall:

  1. Maintain a facility for collections of books, publications, newsletters, and other properties that would be of interest to the membership
  2. Maintain a check-out system so that members may borrow fromt he library.
  3. Seek additions to the library and inform members of new acquisitions
  4. Maintain a list of index of contents of the library, publishing same at least annually for the membership
  5. Inform members about suppliers of books, publications, suppliers, etc.
  6. Keep notes and operational material pertinent to the responsibilities of this office
  7. Perform whatever additional duties the Society prescribes.

 D.  The Membership Committee shall:

  1. maintain the membership of the Society and solicit new members
  2. collect membership dutes from rejoining and new members at the annual renewal date of April 1, and submit all monites to the Treasurer in due time (See Standing Rules)
  3. Maintain accurate and current records on the members, noting payment of dues and any other necessary information
  4. Maintain an accurate current list of members with addresses and telephone numbers
  5. Notify the Newsletter eEditor on a regular basis and definitely prior to each newsletter mail date of new members, address change, and members not rejoining
  6. Remove from active membership those members who have not renewed their membership by June 1, and notify them of this action
  7. Be responsible for implementing Section 3 of Article III - Members
  8. See that membership certificates or cards and name tags are available for all members at meetings
  9. Publish a Membership Directory annually and keep it current by listing new members and/or changes for each newsletter publication thereafter
  10. Present to new members a membership packet which includes general information about the Society, sample newsletter, directory, membership certificate or card, program schedule for the year, a volunteer sign-up sheet, and other information that would be helpful
  11. Provide hosts / hostess at regular meetings to assist the Vice President in greeting guests and new members, check in members and guests, and provide refreshments as necessary
  12. Assist the Public Relations Chairman with abrochure about the Society for annual publication, especially concerning information on how to join the Society
  13. See that members are sent cards for bereavements,illnesses births, and other occassions
  14. Establish a Telephone Committee for the use when necessary for meeting changes, special events, etc
  15. Keep notes and operational material pertinent to the responsibilites of this office
  16. Perform whatever additional duties the Society prescribes

E.  The Newsletter Committee shall:

  1. Have the Editor as its Chairman
  2. Publish a newsletter for the Society membership to promote the purpose of the Society and keep members informed of its program
  3. See that the Newsletter is used primarily for publicity to the Society
  4. Receive information for publication from the elected and appointed Officers concerning the business of the Society and form the membership concerning general information
  5. Collect information from other calligraphy society publications obtaining necessary permission for publication as desired
  6. Seek for publication information, helpful hings, ideas, etc relevant to the interests of the membership
  7. Receive assistance from the Membership Chairman in maintaining an accurage and current mailing list
  8. Mail newsletters in time for the membership to receive advance information on meetings, programs, workshops, etc.
  9. Seek newsletter exchanges with other calligraphic organizations
  10. Keep notes and operational material pertinent to the responsibilities of this office
  11. Perform whatever additional duties the Society prescribes.

F.  The Parliamentary Committee shall:

  1. Have the Parliamentarian as its chairma, who shall advise the President or members on parliamentary procedures when requested, and be a member of the Bylaws Committee
  2. Assist the President with Parliamentary matters when requested
  3. Assist the Vice President on parliamentary matters for the Bylaws and Standing Rules
  4. Check the quorum for each regular meeting of the Society and inform the President
  5. Maintain a current edition of Robert's Rules of Order, Newly Revised
  6. Keep notes and operational material pertinent to the responsibilities of this office
  7. Perform whatever additional duties the Society prescribes

G.  The Program Committee shall:

  1. See that the annual program of the Society offers educational and interesting opportunities for the membership, being aware constantly of the needs of the membership
  2. Coordinate plans with the Workshop Committee to avoid conflicts in scheduling and programming
  3. Be responsible for programs for the regular meetings, coordinating all necessary arrangements
  4.  Present plans for all programs for the Society to the Executive Board for approval
  5. Be aware of and arrange for payment, when applicable, of honorariums, expenses, etc concerning all program events as directed by the Society and its Board
  6. Submit information concerning all programs to the Newsletter Editor by the set deadline for same
  7. Provide information to the membership, either through the newsletter or at regular meetings, when notified of special events, activities, programs, classes, special-interest groups, etc. in the area
  8. Assist the Public Relations Chairman with a brochure about the Society for annual publication, espeically concerning the year's program information
  9. See that all visual aids, equipment, etc. are available for use by speakers and guest instructors, as requested
  10. Keep notes and operational material pertinent to the responsibilities of this office
  11. Perform whatever additional duties the Society prescribes

H.  The Projects Committee shall:

  1. Seek projects and events for the Society that can be of financial benefit, as needed, in order to further the purpose of the Society
  2. Implement all projects the Society votes to undertake
  3. Keep notes and operational material pertinent to the responsibilities of this office
  4. Perform whatever additional duties the Society prescribes

I.  The Public Relations Committee shall:

  1. Publicize to the public the program and purpose of the Society in order to gain interest in the Society
  2. Publicize to the public the planned programs, workshops, etc. of the Society
  3. Publish  a brochure annuall about the Society for distribution to the public, receiving assistance from the Membership Chairman onmethod of joining and from the Program and Workshops Chairmen the Society's program plans
  4. Assist the Exhibits Chairman in seeking places for displays of calligraphic works, etc. to further publicize the Society to the public
  5. Seek constantly for all types of publicity for the Society and implement those ideas after approval by the Board
  6. Maintain a list of members willing to speak to other organizations on calligraphy and related subjects
  7. keep notes and operational material pertinent to the responsibilities of this office
  8. Perform whatever additional duties the Society prescribes

J.  Website Committee Shall

K.  The Workshops Committee shall:

  1. Offer workshops and related programs as part of the educational program of the Society
  2. Co-ordinate plans with the Program Committee in order to avoid conflicts in scheduling and programming
  3. Be responsible for all arrangements of workshops and related programs, co-ordinating all details concerning time, place, costs, instructors, publicity, reservations, etc.
  4. present plans for the annual workshops and related programs to the Executive Board for approval
  5. Implement and envorce workshop guidelines and policies of the Society as noted in the Standing Rules
  6. Submit information concerning all workshops and realted programs of the Society tot he Newsletter Editor by the set deadline for same
  7. Assist the Public Relations Chairman with a brochure about the Society for annual publication, especially concerning the year's workshop information
  8. Keep notes and operational material pertinent to the responsibilities of this office
  9. Perform whatever additional duties the Society prescribes

 

Section 2:  Special Committees 

Special committees shall be appointed as necessary (See Article V) The following Special Committees are required:

A.  The Audit Committee shall consist of as many members as deemed necessary to audit the Treasurer's records annually and report to the Society at the regular meeting in May.  The Treasurer shall not be one of the members.

B.  The Bylaws Committee shall have the Vice President as its Chairman, the Parliamentarian as a member, and as many members as necessary to make amendments to the Society in order to keep the Bylaws and Standing Rules current. 

C.  The Nominating Committee shall receive its directives from Article VI
